Front Office Assistant/Receptionist

For over 25 years, The Restoration Station has been Oklahoma City's trusted expert in furniture repair, refinishing, and upholstery. Our veteran craftsmen restore pieces to function and shine like new, backed by an unwavering commitment to quality and customer service. We are currently undergoing an exciting software and systems transition and are looking for a highly organized Front Office Coordinator to help bring structure, clarity, and professionalism to our customer experience.

We are seeking a dependable, detail-oriented Front Office Coordinator to serve as the first point of contact for our customers and the central hub for incoming information. This role is far more than answering phonesit is a critical position responsible for ensuring customer information is captured accurately, routed correctly, and followed through to completion. The ideal candidate thrives in a fast-paced environment, stays organized under pressure, and takes pride in keeping things clean, accurate, and on track.

Key Responsibilities:

  • Customer Experience & Front Desk
  • Greet customers warmly and professionally upon arrival
  • Answer inbound calls and route inquiries appropriately
  • Provide timely, accurate updates to customers
  • Assist customers in the fabric showroom
  • Handle customer concerns with professionalism and empathy
  • Intake & Data Accuracy (CRITICAL)
  • Gather and document customer information for new estimates
  • Ensure all required photos, notes, and details are captured
  • Enter and maintain accurate records in company systems
  • Verify information before passing jobs to production teams
  • Keep customer files clean, complete, and up to date
  • Scheduling & Coordination
  • Schedule pickups and deliveries
  • Coordinate with internal teams to ensure smooth handoffs
  • Monitor open items and follow up proactively
  • Assist with ordering customer fabrics and parts
  • Office Operations
  • Maintain a clean, organized front desk
  • Assist with light Accounts Payable tasks
  • Support marketing and sales efforts as needed
  • Order office supplies when needed

Required Skills & Traits:

  • Comfortable learning new software systems
  • Organized and able to juggle multiple tasks
  • Experience
  • Prior front office, administrative, or customer service experience preferred
  • Strong written and verbal English
  • Proficient with Microsoft Office (Excel & Word)
  • Comfortable working on Apple/Mac computers
  • Basic bookkeeping familiarity is a plus
  • Interest in furniture, interiors, or design is a bonus

Supplemental pay:
